Manage Notifications

The Notifications feature enables providers and their designated staff to receive email and text alerts for Admission, Discharge, Emergency Room, Result, and Post-Discharge Result notifications. Receive alerts individually or batched by notification type, and schedule the days and times for alert delivery.

Overview of Notifications Feature

Notification Types

Only the Notification Types supported by your system, and for which you are authorized, will be available for alerts delivery.   

Supported Notification Types:

  • Admission Notification - Your patient was admitted to the hospital.
  • Discharge Notification - Your patient was discharged from the hospital.
  • Emergency Room Notification - Your patient visited the emergency department.
  • Result Notification - A result was delivered for your patient; suggested for use only by low-volume practices.
  • Post-Discharge Result Notification - A result was delivered for your patient after they were discharged from an inpatient or emergency visit. 

Email and Text Alerts

You have the option to receive alerts by email and/or text message. Alerts signal that a new notification document is being delivered to the results inbox.

Alerts Delivery Schedule (Every Day or Specified Days) 

Select when you want to receive alerts and when no alerts should be delivered. An Every Day schedule is the same seven days a week for all notification types. A Specified Days schedule is more flexible than an Every Day schedule. A Specified Days schedule allows you to set a different alerts delivery schedule for each day of the week. Like the Every Day schedule, the Specified Days schedule applies to all notification types. 

Alerts Delivery Schedule (Batch or Individual)

You have the option to receive batch alerts or individual alerts. Batch alerts are recommended if you want to minimize the number of alerts you receive. For example, if five of your patients are admitted to the hospital during a specific period of time, with Individual alerts you receive five Patient Admission Notification emails/texts, with Batch alerts, you receive one Patient Admission Batch Notification email/text.

Refer to the following scenarios to understand the number of alerts to expect to receive when Batch Delivery Schedule is selected. 

 

Notification Documents in Results Inbox

For ease of Notification Document review, a link is included in each email or text alert. When you select the link and log in to your account, the Results Inbox opens and is pre-filtered by the Notification Type corresponding to the alert you received. There is a "Notification Type" filter in the Results Inbox and that is what is used. Select the Document ID to view the notification report or result. Post-Discharge Results are indicated by  in the Results Inbox, if enabled for your system.  

 

Sending Alerts to Multiple Users

Your practice administrator can access the Physician Notification Admin feature to subscribe support staff practice users to receive email and/or text alerts for one or more practice physicians. In addition, physicians can be set-up to receive alerts for other physicians in the practice. 

Security and Alerts

The email and text messages provide basic information alerting you of events concerning your patients. Included in the alerts is a link to log in to your provider portal account. The alerts contain no PHI (protected health information). You must log in to the HIE to see the full detail of the patient events.

Go to Manage Notifications

To manage notifications, select My Account in the menu bar then  Manage Notifications

User Notification Information

  1. If closed, select  User Notification Information to open.  
  2. Select a Profile Option: Use My Profile or Use Alternate Profile
    • Use My Profile is the default. Email and mobile information from your profile are displayed. Updates are saved to your user profile. 
    • Select Use Alternate Profile to enter contact information not tied to your user profile. 
  3. Review email and mobile information and update as needed. If profile option is Use My Profile, updates are saved to your user profile. 
    • Required fields indicated by *.
    • Email address required for email alerts delivery.
    • Mobile information required for SMS (text) alerts delivery. To prevent an error, enter mobile number with no dashes or spaces.

User Notification Delivery Options

  1. If closed, select  User Notification Delivery Options to open.  
  2. Change your alert delivery selections. Only notification types enabled for your system are displayed. 
    • Email address is required for email alerts delivery. If Email is selected, but email address is not in User Notification Information, you will not be able to save your work.
    • Mobile information is required for SMS (text) alerts delivery. If SMS is selected, but mobile carrier and number are not in User Notification Information, you will not be able to save your work.  
    • "Results (All)" is suggested for use ONLY by very low volume practices that do not regularly access the system; it is meant as a prompt to let users know that a result has arrived and is available for viewing.
  3. Optional step: When finished, select  User Notification Delivery Options to close.  

 

User Notification Delivery Schedule - Every Day

A Notification Delivery Schedule must be set to receive alerts. If no schedule is set, alerts will not be delivered to you. 

Select Every Day to set a notification delivery schedule that is the same seven days a week. See User Notification Delivery Schedule - Specified Days for help with setting a delivery schedule by day of the week, allowing for more control over when alerts are delivered. 

  1. If closed, select  User Notification Delivery Schedule to open.  
  2. Select Every Day. 
  3. Make a selection from the Notification Delivery Mode list. Alerts for all notification types are delivered according to the selected delivery mode. For example, you cannot select "Batch Alerts" for Discharge notifications and "Individual Alerts - All Day" for Emergency Room notifications.     
    • No Alerts
      • No alerts delivered. 
    • Batch Alerts
      • Minimize the number of alerts delivered. Batch Alerts are by Notification Type. For example, an alert for "Patient Emergency Batch Notification" indicates that one or more of your patients had an emergency room visit. Similarly, an alert for "Patient Discharge Batch Notification" indicates that one or more of your patients were discharged. 
    • Individual Alerts - All Day 
      • Alerts delivery window is 24 hours a day; Notification Delivery Time(s): 12:00 AM - 11:59 PM.  
    • Individual Alerts - Specified Times
      • Select specific hours for individual alerts delivery. 
  4. Select Notification Delivery Time(s). Applies ONLY to Batch Alerts and Individual Alerts - Specified Times.
    • Batch Alerts
      1. Make selection(s) from the Delivery Times list.
        •  Optional step: To filter, type a number to show all options containing the number, for example type 9 and 09:00 AM and 09:00 PM are displayed. Or enter the letter A to show all AM options or the letter P to show all PM options. 
      2. Your selections are indicated by check marks and are added to the top of the Delivery Times list. 
      3. To remove a selection, select it again. The check mark is removed and the time is removed from the top of the Delivery Times list.
    • Individual Alerts - Specified Times
      1. Make a selection from the Start Time list.
        • Optional step: To filter, type a number to show all options containing the number, for example type 9 and 09:00 AM and 09:00 PM are displayed. Or enter the letter A to show all AM options or the letter P to show all PM options. 
      2. Make a selection from the End Time list.
        • Optional step: To filter, type a number to show all options containing the number, for example type 9 and 09:00 AM and 09:00 PM are displayed. Or enter the letter A to show all AM options or the letter P to show all PM options. 
      3. Optional step: Select  to add more delivery time periods.  
        • Repeat steps 1 and 2 for each delivery time period. Select  following a delivery start/end time to delete. 
  5. Optional step: When finished, select  User Notification Delivery Schedule to close. 
  6. Select the check box next to the alerts notice to indicate that you agree to receive alerts according to your selections. This is required before you can save your updates. 
  7. Select Save.

User Notification Delivery Schedule - Specified Days

A Notification Delivery Schedule must be set to receive alerts. If no schedule is set, alerts will not be delivered to the user.

Select Specified Days to set a notification delivery schedule for each day of the week. See User Notification Delivery Schedule - Every Day for help with setting a delivery schedule that is the same seven days a week.

  1. If closed, select  User Notification Delivery Schedule to open. 
  2. Select Specified Days.  
  3. Perform the following steps for each day of the week (Sunday is used in the example):
    1. Make a selection from the Notification Delivery Mode list. Alerts for all notification types are delivered according to the delivery mode selected for that day of the week. For example, for Sunday, you cannot select "No Alerts" for Discharge notifications and "Individual Alerts - All Day" for Emergency Room notifications. 
      • No Alerts
        • No alerts delivered. 
      • Batch Alerts
        • Minimize the number of alerts delivered. Batch Alerts are by Notification Type. For example, an alert for "Patient Emergency Batch Notification" indicates that one or more of your patients had an emergency room visit. Similarly, an alert for "Patient Discharge Batch Notification" indicates that one or more of your patients were discharged. 
      • Individual Alerts - All Day 
        • Alerts delivery window is 24 hours a day; Notification Delivery Time(s): 12:00 AM - 11:59 PM.  
      • Individual Alerts - Specified Times
        • Select specific hours for individual alerts delivery.

          • Optional step: To filter, type a number to show all options containing the number, for example type 9 and 09:00 AM and 09:00 PM are displayed. Or enter the letter A to show all AM options or the letter P to show all PM options. 
        3. Optional step: Select  to add more delivery time periods. 
          • Repeat steps 1 and 2 for each delivery time period. Select  following a delivery start/end time to delete. 
  4. Optional step: When finished, select  User Notification Delivery Schedule to close. 
  5. Select the check box next to the alerts notice to indicate that you agree to receive alerts. This is required before you can save your notification information.
