Scanning Prerequisites

  1. You must have system authorization to install scanning capability and to scan files and attach them to a secure message.
  2. To use the Scan Files feature, you must first install scanning software on your device and your device must be connected to a scanner.

Scan Files

Complete the following steps to use the Scan Files feature to add attachments to a secure message:

  1. From a secure message (new, forward, reply, draft), click the attachments button. It may be labeled Add Attachments, or Add or Edit Attachments. Message Type must be valued to enable the attachments button. The system displays the Attachments dialog box. 
  2. Click Scan Files. The system checks if the scanning control is installed on your device. If the Scan dialog box opens, continue to Step 3, otherwise see the Install or Upgrade Scan Control topic.
  3. If the Scan Control window (within the Scan dialog box) is not displayed, refresh your browser. Note: Browser refresh closes the secure message without saving. 
  4. On the Scan dialog box, select your connected scanner from the Select Scanner list.
  5. If you want the scan file to be gray or color, for Pixel Type, select the Gray option or Color option.  
  6. If you want to change the scan resolution, make a selection from the Resolution list.
  7. If you want to see available options specific to your scanner, select Show Scanner Settings.
  8. Position or load your document on your scanner.
  9. Click Scan. The scanner scans the document. The system displays a preview of the scanned document in the Scan dialog box preview window.
  10. If you want to change the preview mode, make a selection from the Preview Mode list.
  11. If you want to remove selected scanned pages, click the thumbnail of each page (press CTRL while selecting each page to select multiple pages at one time) then click Remove Selected.
  12. If you want to remove every scanned page, click Remove All.
  13. If you want to edit the document image, click Image Editor.  
  14. If you want to scan another document as part of the same file, repeat Steps 5-9.
  15. Enter a File Name. You do not need to include a file name extension (all scanned files are saved as PDF documents). The File Name cannot contain any of the following characters:
    • Asterisk (*)
    • Backslash (\)
    • Colon (:)
    • Double quotation mark (")
    • Forward slash (/)
    • Greater than (>)
    • Less than (<)
    • Question mark (?)
    • Vertical bar (|)
  16. Click Save (File Name must be entered to enable the Save button). The system displays the Attachments dialog box. Your scanned file is listed.
  17. Make a selection from the Document Type list. 
  18. If you want to change the Document Date, select a new Date.
  19. If you want to delete the file, click the red x icon . 
  20. Click OK to save and return to the secure message. The attachments are listed below the Add or Edit Attachments button.
  21. If you want to remove an attachment, click the red x icon next to the file name.
  22. If you want to add or edit attachments, click Add or Edit Attachments.

Note: After the secure message is sent, the scanned document is added to the patient's Documents and you can see it in the Document Grid.

Install or Upgrade Scan Control from Within Secure Messaging

The recommended path to install or upgrade Scan Control (Dynamsoft Dynamic Web TWAIN) is My Account > Install Scan Control, because it is least disruptive to your workflow. Click here for the associated Help. 

When you install or upgrade Scan Control from within Secure Messaging, your secure message will likely be closed and not saved. Upgrade Scan Control applies to portal version 5.0.0 and later* only.

Scan Control Installation Prerequisites  

  1. Scan Control installation requires administrative rights on your device*.
  2. You need portal system authorization to install scan capability.

*The scan feature is not supported on mobile devices.

Install Scan Control from Within Secure Messaging (portal version 4.5.0 and earlier only)

 Complete the following steps to install Scan Control (Dynamic Web TWAIN) on your device* from within Secure Messaging (if using portal version 5.0.0 or later**, click here):

  1. From a secure message (new, forward, reply, draft), click the attachments button. It may be labeled Add Attachments, or Add or Edit Attachments. Message Type must be valued to enable the attachments button. The system displays the Attachments dialog box. 
  2. Click Scan Files. The system checks to see if Scan Control is installed on your device. If it is not installed, the system displays the following message:
  3. Click Install Scan Control. The system displays the Install Scan Control dialog box.   Follow your browser's instructions to download and install Scan Control. The system displays a successful installation message when the installation completes.
  4. Click OK to close the Install Scan Control dialog box.

Note: After successful Scan Control installation, we recommended you log out of the portal, close and reopen your browser, then log back into the portal to use the scanning functionality.

Install Scan Control from Within Secure Messaging (portal version 5.0.0 and later only)

A new version of Scan Control (Dynamic Web TWAIN) is used in portal version 5.0.0 and later*. If Scan Control was previously installed on your device, click here for upgrade instructions. If this is the first time installing any version of Scan Control on your device**, complete the following steps:

  1. From a secure message (new, forward, reply, draft), click the attachments button. It may be labeled Add Attachments, or Add or Edit Attachments. Message Type must be valued to enable the attachments button. The system displays the Attachments dialog box. 
  2. Click Scan Files. The system checks to see if Scan Control is installed on your device. If it is not installed, the system displays the following message:
  3. Click Install Scan Control. The system displays the Install Scan Control dialog box containing the Dynamsoft dialog box.
  4. Click Download (installation steps can vary by browser).
  5. Run the Dynamic Web TWAIN executable file (.exe). The system displays the Dynamic Web TWAIN Setup Wizard dialog box.
  6. Follow the Dynamsoft Dynamic Web TWAIN installer steps to install Dynamic Web TWAIN on your device.
  7. When the installation completes, click Close to exit the Setup Wizard dialog box.
  8. Click OK to close the Install Scan Control dialog box.

Note: After successful Scan Control installation, we recommend you log out of the portal, close and reopen your browser, then log in to the portal to use the scanning functionality.

Upgrade Scan Control from Within Secure Messaging (portal version 5.0.0 and later only)

A new version of Scan Control (Dynamic Web TWAIN) is used in portal version 5.0.0 and later*. If this is the first time installing any version of Scan Control on your device**, click here for installation instructions. If Scan Control was previously installed on your device, you must upgrade to Dynamic Web TWAIN version 12.2.0 to enable the portal's scan feature. The system detects if Scan Control is already installed and prompts you to upgrade. Follow the prompts to upgrade. Steps and prompts can vary by browser.

Note: After successful Scan Control upgrade, we recommend you log out of the portal, close and reopen your browser, then log in to the portal to use the scanning functionality.
