Secure Messaging

Secure Messaging enables you to communicate securely with other configured practices and hospital groups. Your messages can include documents, HIE patient records, general correspondence, referrals, and more. Your Secure Messaging Inbox view is organized by tabs:

  • Inbox - messages you received
  • Drafts - messages you started, but have not sent
  • Sent - messages you sent
  • Archive - messages you Archived (removed) from one of the other tab views 
  • Notifications - notifications you received - tied to sending/receiving external messages

Open Secure Messaging Inbox

Select Secure Messaging in the menu bar. Your Secure Messaging Inbox opens.

Filter Secure Messages

Use filters to quickly find what you're looking for in your Secure Messaging Inbox. To expand/collapse the filters view, click Filters:

Sort Secure Messaging Inbox

If you want to sort your Secure Messaging Inbox, select any column header field. An up arrow () indicates an ascending sort order, for example, a to z; 1 to 10; oldest date to most recent date. A down arrow () indicates a descending sort order, for example, z to a; 10 to 1; most recent date to oldest date.

Hide/Display Secure Messaging Inbox Columns

The first time you access your Secure Messaging Inbox, the default columns are displayed. There is a set list of available columns and a default subset of active columns for each inbox in the portal. You can hide or display each of the available columns in each of your inboxes.

Note: Once you change the default columns in an inbox, there is no automatic way to revert back to the default columns; you have to do it manually. Prior to making any column changes, make a note of the default columns. Then, once you hide or display columns and want to revert back to the default, refer to your notes and manually hide or display columns to match the default.

Click the Columns box:  A dropdown menu opens and lists the available Secure Messaging Inbox columns. The active columns are checked. 

  • To hide a column from view, click the check box next to the column name. The column is immediately hidden.
  • To display a column that is hidden, click the check box next to the column name. The column is immediately displayed.

Tip: Your column selections persist until you change them.

Change Number of Messages Displayed Per Page

Click the Page Size button:  A dropdown menu opens and lists options for the number of messages to display per page: 

Make a selection. The page is refreshed and the requested number of messages per page is displayed.

Open and/or Print a Secure Message

There are two ways to open a message in your Secure Messaging Inbox. Choose the method that works best for you:

  • Option 1: Click the message Subject - the blue hyperlink with a paper icon in front of it:   message Subject. It is on the left side of the message row. The message opens.
  • Option 2: Click the Actions dropdown on the right side of the message row. Choose  Open. The message opens.

To print the opened message, click the Print button.

Open and/or Print Secure Message Attachments

If the message includes attachments, you will see a paper clip icon  at the beginning of the message row. Open a Secure Message. In the Attachments section of the message, select an attachment to open. The attachment opens in the Document Viewer. In the Document Viewer you can zoom in and out, print, download, or go into presentation mode and see the document full screen. 

Click Close at the bottom of the Document Viewer to return to the secure message.

Global Secure Messaging

  1. Perform a Global Patient Search. A global patient search enables you to find patients in the global repository consisting of other practices, hospitals, etc., that are connected to your HIE. Global search results provide access to patient documents available within the global network. Please Note: You must be preauthorized to perform this function. More on Global Patient Search. 
  2. When global search results are displayed, there are various ways to open a new message - three of the most direct ways are:
    • Click the Actions dropdown on the right side of the patient row. Choose  New Message.
    • Click the Actions dropdown on the right side of the patient row. Choose  Patient Summary. The global patient summary view opens. Click the  New Message button in the top right corner of the global patient summary view.  
    • Click the Patient Name hyperlink on the left side of the patient row. The global patient summary view opens. Click the  New Message button in the top right corner of the global patient summary view. 
  3. A new message opens. The selected patient's information is pre-populated in the Patient field.
  4. Click in the "Type" box, then choose a message Type from the dropdown menu. A message Type must be selected before Recipients can be added. 
  5. Next, add message recipients in the "To" field. More on adding message recipients.
  6. If the message Type has an associated Form, you'll see "+ Edit Form" in the Form field, otherwise you'll see the words "No Form." Forms are specific to a practice or hospital. Not all message Types have associated Forms. Click the + Edit Form button. The Secure Message Form window opens. Complete the Form then click OK.     
  7. Optional Step: Click in the "On Behalf Of" box and make a selection from the list. 
  8. Optional Step: Add Global Attachments. More on adding global attachments.
  9. Enter a message Subject
  10. Type and/or use Snippets to enter a message in the secure messaging body editor window. More on snippets.
  11. Click Send or click Save Draft to complete at a later time. Click Cancel to exit without sending or saving the message.

Create and Send a Secure Message

Secure Messaging provides the functionality for a configured practice to communicate securely with other configured practices and hospital groups. You can create a new secure message anywhere you see  New Message within the provider portal.

  1. Click on  New Message to create a new secure message.  New Message is found in several places including:
    • On a button in the top right corner of a patient's Patient Summary view
    • In the Actions dropdown menu on the right side of: 
      • Each message row on all tabs (Inbox, Drafts, Sent, Archive, Notifications) of your Secure Messaging Inbox 
      • Each result row in your Results Inbox
      • Each patient row returned from a Patient Archive Search
      • Each patient row returned from a Patient Global Search
  2. A new message opens; patient information is pre-populated.
  3. Click in the Type box, then choose a message Type from the dropdown list. A message Type must be selected before Recipients can be added. 
  4. Next, add message recipients in the To field. More on adding message recipients.
  5. If the message Type has an associated Form, you'll see + Edit Form in the Form field, otherwise you'll see the words No Form. Forms are specific to a practice or hospital. Not all message Types have associated Forms. Click the + Edit Form button. The Secure Message Form window opens. Complete the Form then click OK.

  10. Click Send or click Save Draft to complete at a later time. Click Cancel to exit without sending or saving the message.

Reply to a Secure Message 

  1. Choose one of these two options to open the message to which you are replying and initiate your reply. From your Secure Messaging Inbox:

    • Option 1: Click the message Subject - the blue hyperlink with a paper icon in front of it:   message Subject. It is on the left side of the message row. The message opens. Click the  Reply button. 

    • Option 2: Click the Actions dropdown on the right side of the message row. Choose  Reply.
  2. Optional Step: In the "To" field, add additional recipients to your reply. More on adding message recipients.
  3. Optional Step: Click in the "On Behalf Of" box and make a selection from the list. 
  4. Optional Step: Add Attachments to your reply. More on adding attachments.
  5. Type and/or use Snippets to enter a reply in the secure messaging body editor window. More on snippets.
  6. Optional Step: Click Last Message to view the prior message.
  7. Click Send to send your reply. Click Save Draft to complete at a later time. Click Cancel to exit without sending or saving your reply.

Forward a Secure Message

  1. Choose one of these two options to open the message that you are forwarding. From your Secure Messaging Inbox:

    • Option 1: Click the message Subject - the blue hyperlink with a paper icon in front of it:   message Subject. It is on the left side of the message row. The message opens. Click the  Forward button.

    • Option 2: Click the Actions dropdown on the right side of the message row. Choose  Forward.

  2. Optional Step: In the "To" field, add additional recipients to your forwarded message. More on adding message recipients.
  3. Optional Step: Click in the "On Behalf Of" box and make a selection from the list.
  4. Optional Step: Add Attachments to your forwarded messageMore on adding attachments.
  5. Type and/or use Snippets to enter a message in the secure messaging body editor window to accompany the message you are forwarding. More on snippets.
  6. Optional Step: Click Last Message to view the message you are forwarding.
  7. Click Send to forward the message. Click Save Draft to complete at a later time. Click Cancel to exit and not forward the message.  

Save or Complete a Secure Message Draft

Save a Secure Message Draft
At any time while you are creating a new message, as long as the message Type is valued, you can click the Save Draft button below the message body editor window to save your message. At any time when replying to or forwarding a message, you can click the Save Draft button below the message body editor window to save your message. Go to the Drafts tab in your Secure Messaging Inbox to see your saved draft messages. 

Complete a Saved Secure Message Draft

  • Click the Drafts tab in your Secure Messaging Inbox to view your saved Draft messages.
  • Optional Step: Use filters to choose a subset of draft messages to be displayed. More on filtering secure messages.
  • Click the message Subject - the blue hyperlink with a paper icon in front of it:  message Subject. It is on the left side of the message row. The message opens.
  • On the Edit Draft page, complete your message, then click Send.  

View and/or Print a Sent Secure Message

  1. Click the Sent tab in your Secure Messaging Inbox to view your Sent messages.
  2. Optional Step: Use filters to quickly find what you're looking for on the Sent tab in your Secure Messaging Inbox. More on filtering secure messages.
  3. Optional Step: Sort the displayed messages.
  4. Optional Step: Hide/Display columns. 
  5. Optional Step: Change number of messages displayed per page.
  6. View and/or Print a Sent Secure Message.

Change Secure Message Status

You can change the status of messages from the Inbox or Drafts tabs in your Secure Messaging Inbox. 

Locate the Status column. If you do not see it, click the Columns button then click the check box next to Status.

Change Status of One Message

  • Click the current message status located in the Status column. A dropdown menu opens.
  • Select a new status.
  • Click OK on the Change Status confirmation window. 

Change Multiple Messages to the Same Status at One Time

  • Click the check box next to each message, then click the Change Status button: 
  • Select the new status from the dropdown list.
  • Click OK on the Change Status confirmation window. 

Archive a Secure Message

You can Archive messages from the Inbox and Sent tabs in the Secure Messaging Inbox. You can also Archive Inbox and Sent messages once you open them. Messages that you Archive can be viewed from the Archive tab in your Secure Messaging Inbox. 

Archive Messages from Inbox or Sent tabs 

  1. Choose one of these two options to archive messages from your Inbox or Sent tabs

    • Option 1: Click the check box next to the message(s), then click the  Archive button: Click OK on the Archive confirmation window. 

    • Option 2: Click the Actions dropdown on the right side of the message row. Choose  Archive. Click OK on the Archive confirmation window.

Open and Archive an Inbox or Sent Message

  • There are two ways to open a message on the Archive tab of your Secure Messaging Inbox. Choose the method that works best for you:

    • Option 1: Click the message Subject - the blue hyperlink with a paper icon in front of it:   message Subject. It is on the left side of the message row. The message opens.
    • Option 2: Click the Actions dropdown on the right side of the message row. Choose  Open. The message opens.
  • Click the  Archive button. 
  • Click OK on the Archive confirmation window.

View Archived Messages

Click the Archive tab in your Secure Messaging Inbox to view your Archived messages.
